In this Bankeo Privacy Policy, for the company that operates this Website and the Platform connecting accounting specialists with entrepreneurs or individuals (referred to as « Bankeo™ », « we », « our »):
« Client » means a business that uses Bankeo's Services, either as someone looking for a match (as outlined in the Terms of Use) or as an accounting specialist registered with the BANKEO network (as outlined in the applicable Service Agreement).
« Business Contact Information » refers to details about someone's role within a company, such as their name, title, and function, along with their work address, email address, and phone number. By « role within a company », we mean this information must have been collected, used, or disclosed for the purpose of communicating with the person in connection with their employment, business, or profession.
« Individual » means anyone who visits Bankeo's Website, plus anyone who reaches out to Bankeo by filling out the form to get matched with an accountant on Bankeo's Website.
« Platform » means Bankeo's Website and all of Bankeo's integrated tools, portals, and services, including the portal for accounting specialists and the matching processes.
« Personal Information » means any info that can identify someone, directly or indirectly. This doesn't include Business Contact Information, unless privacy laws say it is. Information that's anonymized by law isn't Personal Information.
« Services » means the matching services Bankeo offers to connect Clients or Individuals with selected accounting specialists. This includes support from a Bankeo Broker and using the matching Platform.
« Website » refers to Bankeo's Website: https://www.bankeo.ca/
This Policy applies to Bankeo's Clients, who are businesses.
It also has a section just for Individuals. This specific section works alongside the Policy for our business Clients.
Bankeo's employees, subcontractors, agents, and partners must follow this Privacy Policy if they get to see Personal Information as part of their work.
To keep your Personal Information safe, we've set up policies, practices, and procedures for how we handle the Personal Information we have or look after.
These internal policies and practices guide how we collect, use, share, keep, and get rid of Personal Information. They also cover handling complaints, keeping information secure, and managing data. Plus, they set up how we do privacy impact assessments and how we prevent and deal with any privacy incidents. Our Personal Information Protection Officer has approved all of these policies and practices.
Bankeo's senior management has given the job of managing the Personal Information protection program to the Personal Information Protection Officer. Their role is to manage and keep an eye on Bankeo's Personal Information management program internally.
It's the Privacy Officer who approves and puts into action our personal information protection policies and procedures. They also make sure everything runs smoothly and report back to Bankeo's senior management on how effective the program is.
The Privacy Officer is also the one to help you out if you have any questions, complaints, or requests about protecting your personal information. For more details, just check the bottom of this document.
Since our products are for businesses, we usually don't deal directly with individuals. But we do ask our clients to give individuals any notices required by law and to make sure that using, collecting, or sharing personal information between Bankeo and the client is okay, if it applies.
However, we might collect personal info from individuals when they visit our website or if they fill out a form on our website to connect with an accounting specialist. When that happens, Bankeo makes sure to get all the necessary consent to use and share that personal info.
When we're building and improving our website and platform, we make sure to only collect personal info that's absolutely necessary for them to work, like in our contact forms or when you ask to connect with someone.

As we mentioned earlier, and in very specific situations, Bankeo might collect personal information for its own use. Here's why Bankeo collects and uses personal information for its own purposes:
Before we record any phone call, BANKEO will let you know and ask for your permission. You can always say no to the recording. We store electronic communications with Bankeo or any of its team members, contractors, agents, or partners to make sure our services are top-notch, that our conversations are accurate, and for training our Bankeo staff.
If a client or individual decides not to give us the info we need to open and manage their user account, or if they take back their permission for us to use or share their business contact or personal info, Bankeo might not be able to give them the products and services they signed up for, and we might even have to end our business relationship with them.
Sometimes, Bankeo might need to share your Business Contact Info or Personal Information with our subcontractors or agents (we call them "third parties"). This helps us provide our services properly and keep all the features of our Platform and Website running smoothly (things like maintenance, analysis, legal stuff, fraud detection, marketing, and development). These third parties will only get access to the Business Contact Info and Personal Information they absolutely need to do these tasks for us, and they're strictly not allowed to share or use it for any other purpose.
Note that these subcontractors or agents may be located at Canada or in other jurisdictions or countries. Please be aware that we have contractual agreements with these entities to ensure the security of the data we entrust to them and that we conduct privacy impact assessments before disclosing any personal information outside the province of Quebec. While the business contact information and personal information we transmit are protected by appropriate security measures, this information may be made available to foreign government agencies, in accordance with applicable laws.
Bankeo has set specific times for how long we keep the Personal Information we have. We won't hold onto your Personal Information any longer than it's needed or useful for the reasons we've mentioned, unless laws or regulations require us to. Once these times are up, Bankeo will either give back or securely destroy your Personal Information, following our own internal rules for handling it.

Keeping your Personal Information safe – the stuff we collect, use, and hold – is a top priority for Bankeo. That's why we make sure to put in place security measures that are right for how sensitive the data is. This helps protect your Personal Information from risks like getting lost or stolen, or from anyone accessing, sharing, copying, using, changing, or destroying it without permission.
You, as the Client, are responsible for keeping your username and password private. If you ever think that information might be at risk, please get in touch with Bankeo right away at rprp@bankeo.ca to prevent any fraudulent use of your details.
Bankeo counts on both individuals and clients to keep the Business Contact Info and Personal Information we collect, use, and store accurate for the reasons we've already mentioned.
Bankeo's Personal Information management program has practices and procedures in place to detect and respond to incidents, making it easier to report anything involving your Personal Information.
As per our agreements with you, Bankeo will give reasonable help to clients when investigating any incident and meeting their incident-related duties, if needed. This includes things like notifying affected people and reporting the incident to the right privacy commissioners or other relevant parties.
Since we usually don't have a direct business relationship with individuals, Bankeo will send most requests from individuals (like wanting to access or correct their Personal Information) directly to the Client. This is unless Bankeo has specifically agreed in a contract with the Client to handle these requests as part of our services.
Bankeo's Website has a handy feature that lets you, the Client, set up your user account. To do this, you just need to log in to access, change, or delete the information in your account.
If you want to close your user account, just reach out to Bankeo's customer service at contact@bankeo.ca to make that request. Your user account will be deleted within ninety (90) days after Bankeo gets your request. After that, any Business Contact Info, Personal Information, documents, and other details stored in it won't be accessible or recoverable.
However, depending on the laws that apply, where you live, and how you use Bankeo's Website or Platform, you might have certain rights about the Personal Information we have on file for you. Bankeo will only keep your personal info for as long as we need it for the reasons we collected it. For the Services covered by this Policy, BANKEO uses a matching algorithm to suggest accounting pros. This algorithm doesn't make legal decisions; it just gives you suggestions that you're free to accept or decline. You're always in full control of your choices.
A cookie ("Cookie") is a small text file that gets stored in a special spot on your computer, mobile, tablet, or any other device when you use your browser to visit an online service. This Policy includes other tracking tech like web beacons and tracking pixels under the term "Cookie". These tracking technologies aren't always stored on your computer or device.
